The following are the requirements for applying for a visa to Japan:
Valid original passport with at least 6 months validity and a minimum of 3 blank pages, along with any previous passports, if available.
A notarized photocopy of the complete current passport, including the biodata page, the last page, and any amendment pages.
Duly completed Japan visa application form.
A personal covering letter – on plain paper for employed individuals and on company letterhead for self-employed applicants.
Two recent colour passport-size photographs that meet the official photo specifications.
Original bank statement for the last 6 months showing adequate financial balance.
Income Tax Returns (ITR) or Form 16 for the past three assessment years.
Additional financial documents such as fixed deposits, property ownership proof, or investment records (optional but recommended).
Medical examinations, including chest x-ray tests, may be required as part of the application process.

Japan Visa – Additional Requirements Based on Applicant Type
For Employees: Leave approval letter from the employer (signed and stamped with the company seal), along with the latest 3 months’ salary slips, confirming employment and granted leave during the travel period.
For Self-Employed Individuals: Proof of business ownership such as Business Registration Certificate, Memorandum of Association (MOA), or Partnership Deed; updated company bank statements for the last 6 months showing active transactions; and income tax returns for the last 3 years to establish financial stability.
For Retired Applicants: Retirement proof documents like a pension passbook, pension payment statements, or a retirement order to verify retired status and source of income.
For Students: Valid student identification card from the academic institution and a recent bonafide certificate confirming current enrollment and granting permission for international travel.
For Minors: Birth certificate to establish the minor’s identity and age, a notarized No Objection Certificate (NOC) on ₹100 stamp paper from both parents or the non-accompanying parent(s), and copies of their government-issued ID (Passport or PAN card) to confirm consent for travel.
When Visiting Friends/Relatives: An original invitation letter from the host, a copy of their valid identification document (such as passport or residency permit), and a recent utility bill (e.g., electricity or water bill) as proof of the host’s residential address.
If Sponsored: A formal sponsorship letter from the sponsor, a copy of their national ID (Passport, PAN card, or resident permit), the sponsor's bank statements for the past 6 months reflecting financial capacity, and income tax returns for the last 3 years.
For Business Visa: An official invitation letter from the host company clearly stating the purpose of the visit and business details; if the foreign company is covering the expenses, an original Letter of Guarantee and a certified copy of the business registration certificate are required. Additionally, a covering letter from the Indian company printed on official company letterhead must be provided.
